How is this calculated?
Line amount = quantity × rate. With GST: same state, CGST = SGST = amount × (rate ÷ 2); different states, IGST = amount × rate; each rounded half up to the paise. Total = amounts + tax.Runs in your browser — nothing you enter leaves this device.
About this tool
What it does
Quotation Generator makes a quotation or estimate — a written offer of price before work starts or goods are sent — as a printable page. Add your business and the customer, a quotation number, the date and how long the prices hold, then the items with quantities, units and rates. GST can be shown or left out; when shown, it is CGST plus SGST if both of you are in the same state and IGST if not, worked out per line in whole paise, with a tax summary by rate and the total in words. Terms such as advance, delivery time and validity go at the foot. Because it shares the invoice’s arithmetic, an accepted quotation turns into an invoice with the same figures. Choose one of three templates and A4 or Letter paper, then print or save it as a PDF to send.
How to use it
- Set the quotation number, date and the date the prices are valid until.
- Fill in your business and the customer, with their states if you show GST.
- Add the items; switch GST on or off.
- Edit the terms, check the preview, then Print or save as PDF. Save a draft to revise it later.
Limits and your data
- A quotation is not a tax document. GST is charged on the invoice issued when the sale happens, at the rate in force then.
- GST rates are typed by you for each item; check them for your HSN or SAC codes.
- Optional items, alternatives and per-line discounts are not separate features; describe them in the item text or terms.
- Quotation numbers are not tracked between quotations; keep your own series.
- Everything stays in your browser. Prices and customer details are not sent anywhere; drafts are kept on this device only when you save one.
Questions
What is the difference between a quotation and an invoice?
A quotation offers a price for the customer to accept; an invoice asks for payment for what was supplied. GST is accounted for on the invoice, not the quotation.
Should a quotation include GST?
Usually yes for business customers, so they see the full cost. Switch “Show GST” off to quote prices before tax.
How long should a quotation be valid?
Often 15 to 30 days, shorter when material prices move quickly. The page opens with 30 days and states the number of days on the quotation.
Is this the same as an estimate or a proforma invoice?
An estimate is the same idea, often less binding. A proforma invoice is a preliminary invoice sent before supply; use this page and title it that way in the terms if your customer needs one.
