Meeting Agenda Maker

Write a meeting agenda with a length for each item: the start and end time of every item is worked out from the start, with the total. Print it or save it as a PDF.

How is this calculated?
Start of item n = meeting start + the minutes of items 1 to n − 1; its end = its start + its own minutes. Times are whole minutes from midnight, so nothing is rounded: a 9:30 am start with items of 5, 20 and 10 minutes runs 9:30–9:35, 9:35–9:55 and 9:55–10:05. An item without a length stops the clock there, and an agenda that would run past midnight is pointed out.

About this tool

What it does

Meeting Agenda Maker turns a list of topics into a timed agenda. Give the meeting a title, date and start time, then add each item with how many minutes it should take, who leads it and any notes. Every item’s start and end time is worked out from the start time, one after another, so the times printed on the page always add up — change one item’s length, or move it up or down, and every time after it moves with it. The total length and the finishing time are shown as you type. Add where it is held or the call link, who chairs it, who is invited and its purpose, choose one of six templates, a colour and A4 or Letter, then print it or save it as a PDF to send with the invitation. Save the agenda as a draft to reuse it for next month’s meeting.

How to use it
  1. Type the meeting’s title, date and start time.
  2. Add each item with its minutes; add who leads it and notes if you like.
  3. Move items up or down until the order is right; the times follow.
  4. Fix anything listed above the preview, then Print or save as PDF.
  5. Save a draft to start next time from this agenda.
Limits and your data
  • Lengths are whole minutes, from 1 to 480 (eight hours) an item.
  • There are no breaks between items unless you add one as an item of its own (“Tea break”, 15 minutes).
  • This makes the agenda, not the minutes: the record of what was decided is written after the meeting.
  • Everything stays in this browser; nothing is uploaded. Drafts are kept only when you press Save draft, on this device, and are in Export my data.

Questions

What should a meeting agenda include?

The title, date, time and place (or call link), who is invited, the purpose, and the items in order with a length and an owner each. Sending it a day or more ahead lets people prepare.

How long should each item be?

Long enough to reach a decision or an update, and no longer. A short welcome and a few minutes of “any other business” at the end keep the main items on time.

Can I add a break?

Yes — add it as an item, such as “Lunch” for 45 minutes. It is timed like any other.

Does it work for a board meeting?

It lays out any agenda. A company’s board meeting has its own notice rules (the Companies Act and Secretarial Standard 1), which this page does not check.
