About this tool

What it does

Expense Report Generator makes an expense claim for reimbursement: business travel, a client visit, a month of local conveyance and phone bills. Enter who is claiming, the purpose and the period, then each expense with its date, category, description and amount, and tick whether a bill is attached. The report totals the spending by category — travel, lodging, meals, local conveyance, fuel and so on — and in all, deducts any advance already given, and states the result plainly: the amount payable to the employee, or the amount to be returned when the advance was larger. Everything is added up in whole paise, so the figures match to the last paisa, and the net amount is written in words. Dates outside the claim period and amounts that are not amounts are flagged before printing. Expenses without a bill are totalled separately, as finance teams usually ask.

How to use it
  1. Enter your name, employee ID, department, purpose and the period.
  2. Add each expense with its date, category, amount and whether a bill is attached.
  3. Enter any advance received, and the approver’s name.
  4. Check the preview, then Print or save as PDF and attach the bills. Save a draft to keep adding during a trip.
Limits and your data
  • Your company’s policy decides what is reimbursable, the limits per category and which expenses need bills; the report does not apply a policy.
  • Amounts are in rupees. Spending in another currency should be converted at the rate your company uses before it is entered.
  • Mileage claims at a rate per kilometre need the distance and rate worked out first; enter the result as a fuel or conveyance expense.
  • Bills are not attached to the PDF; print or scan them separately.
  • Everything stays in your browser. Expenses are not sent anywhere, and drafts are kept on this device only when you save one.

Questions

How is an advance settled?

The advance is deducted from the total spent. If you spent more, the difference is payable to you; if less, you return the difference. The report says which.

What if I lost a bill?

Untick “Bill attached” for that expense. The report shows how much was spent without bills, so the approver can see it at once.

Can I keep adding expenses during a trip?

Yes. Save a draft after each day; it stays on this device until you open it again or delete it.

Why are dates outside the period flagged?

Claims are usually checked against the trip or month they cover. A date outside it is often a typing slip.
